Choosing a college ERP is a decision you live with for years. Feature lists look alike, and every vendor says yes. These twelve questions cut through that and show how a product will really behave in your college.
The 12 questions
1. Does it fit our processes, or must we change them?
List five processes that matter, such as an admission, a fee receipt, a leave approval, a payroll run and a merit list. Ask each vendor to do them your way.
2. Can we try it with our own data?
A demo on sample data hides problems. Ask for your own programme, your own fee structure and your own staff records.
3. How do we move from Excel and old systems?
Ask for a written plan with stages, owners and a parallel run, where old and new work side by side until the numbers match. Our own plan is about five months when data is clean and up to six when it needs work. See how we move colleges.
4. Can we start with one module?
Ask whether modules work separately and connect later. It lowers the risk of the first step.
5. What can we configure ourselves?
Forms, workflows, fee structures, leave rules, approval chains. Ask what needs a developer and what each change costs. Read more in customizable college ERP.
6. How does one record serve every module?
A student or staff member should be entered once. Ask what happens when you add the next module.
7. How does it handle our accounts?
If you use Tally, ask how fees and payroll reach it without re-entry, with checks against duplicates.
8. How does it support accreditation?
Ask how faculty, student and infrastructure data can be gathered for reports such as the NAAC self-study. See NAAC SSR software.
9. How is our data protected?
Ask about role-based access, a record of changes, backups, where data is stored, and how consent is recorded under India’s data protection law.
10. What does support look like?
Ask for response targets, who you call, what training is included, and what help is available during the first payroll and fee cycles.
11. What does it really cost?
Ask for a written list: modules, configuration, migration, training, support, and anything charged separately. Compare vendors on the same list.
12. Who else like us uses it, and can we speak to them?
Ask for references from colleges of your size and type. A reference call is worth more than any brochure.
How to score the answers
Make a simple sheet with the twelve questions in rows and the vendors in columns. Give each answer a score from 0 to 2: no, partly, yes, shown live. Total the columns. A vendor that says yes to everything but shows nothing should score lower than one that shows a few things well.
Red flags
- “Everything is customizable” with no examples
- A demo that never uses your data
- No written migration plan
- No way to export your data
- Reluctance to give references
Where Tuling fits
Tuling is a college ERP made of modules that run on their own and connect together: Admissions, Financials, HCM, SIS, Library and more. Read how to build a college ERP one module at a time, or send us your task list and we will show you each item.
Who should be in the room when you decide?
An ERP touches every department, so the decision should not sit with one person. Include:
- The principal or director, for priorities and budget
- The registrar or admission head, for student-facing processes
- The accounts head, for fees and the books
- HR or the person who runs payroll
- Someone responsible for IT and data
- A user from the front desk or counter, who knows the daily reality
Each should have the same task list and the same scoring sheet.
What is a good demo script?
Use the same script with every vendor.
- Take one applicant from enquiry to enrolment.
- Collect a fee, issue a receipt, void it, and close the day.
- Set up a leave rule and approve a leave request.
- Run payroll as a dry run on sample staff.
- Show how a new programme or fee structure is added by your own staff.
- Show how data is exported and who can see what.
- Show how a record from one module appears in another.
- Explain the migration plan and the first month of support.
What does college ERP cost?
Do not expect a single number. Costs usually depend on the modules you take, the number of students and staff, the amount of data to migrate, training, support and any custom work. Ask for an itemised quotation, ask what is charged separately, and ask what happens to the price when you add a module or a campus. Compare vendors on the same list, and be careful with a very low first-year figure.
What should you do after choosing?
- Start with one module, not everything at once.
- Agree a written plan with stages, owners and sign-off points.
- Name an owner in each department.
- Run old and new side by side before you switch.
- Review after the first cycle, and plan the next module.
The principle
Choose the vendor who shows you the most of your own work, on your own data, with a plan you can read. That is almost always the one who will deliver.
Frequently asked questions
What is college ERP software?
It is software that runs a college's main work in one connected system: admissions, student records, fees and accounts, HR and payroll, library, exams and accreditation.
How do we compare college ERP vendors fairly?
Give each the same task list from your own processes, ask them to show it with sample data, and score every answer on the same sheet.
What should be in a college ERP contract?
The modules, what is included in configuration, what is charged separately, the migration plan, support terms, data ownership and what happens if you leave.
Is a cloud ERP safe for college data?
It can be, if access is controlled by role, data is backed up, consent is recorded where the law expects it, and the vendor explains where data is stored.
